Receive Shipment Tutorial & Guide

A tutorial on using the Receive Shipment function for pack and ship operations, featuring barcode scanning, photo uploads, and automated customer notifications via Email and SMS.

In this video, we're going to look at some of the shipping tracking functions built for pack and ship operations.

In particular, the receive shipment function.

You will use this function when your shop receives a package on behalf of a customer.

The purpose of this function is to allow you to receive a package, scan the barcode, take some photographs of the packages you have received, and then send both an email and an SMS to the customer notifying them of the delivery.

To use these functions, we'll scroll down to the shipment tracking area in the left menu bar and then click receive shipment.

Up at the top of this page, we have a field where we can either select the account of an existing user or, if the user does not yet have an account, we can create an account for them.

Next, we can either type or scan the tracking number using either a handheld scanner or a mobile device.

If you have some internal storage locations, you can enter in that location so your own staff can find the package easily.

In this next field, you can type in the box count.

Here we've entered one, but of course, sometimes you receive multiple boxes.

Then, in this field here, you can decide on how you would like to notify your customer.

So here we're going to send notification to the customer by both email and SMS.

Finally, there is a field here for selecting photos of the packages you have received.

If you're on a mobile device, you can take new photos, or you can take photos prior to starting this process and select the photos you took earlier.

Once we've filled in all these fields, we hit the button submit.

After you click the submit button, our system then notifies the customer, in this case by both email and SMS, that you have received a package on their behalf.

Now we'll take a look at the email that the customer receives.

Here we have switched to an email client to illustrate the email that the customer is going to receive from your system.

So here's the title of the email, and when we click on it, we can see the details of the shipment you entered when you first recorded the receipt.

Very importantly, inside the email and SMS are links to the photos that you took of the package when you registered the receipt of the shipment.

With these photos easily available, your customer can look at the photos and understand what it is that you have received on his behalf.

After you recorded the receipt of the package, our system automatically displays a history page showing you all the packages that you have received and registered in the system.

In this page, you can see the date, customer name, tracking numbers, and other data about the shipment.

On the right-hand side, you can see a column which is going to display either an hourglass icon or a green checkmark.

The hourglass icon means that you have received the package, you've notified the customer, but the customer has not yet collected the package from you.

With the icon in this column, you can clearly see which packages are still in your inventory and which ones are no longer in your inventory.

For those that are in your inventory, you can resend the notifications to the customer by hitting this button resend.

This makes it easy to send a reminder to your customer that you have received a package on their behalf and they should come into your store and collect it.

Finally, when a customer does come to collect a package, you can click here and change the status and mark that job as collected.
