Learn how to use the wp2print Rapid Quote system to automate file analysis, calculate ink coverage, and send professional price quotes to customers in seconds.

In this video, we're going to take a look at the Rapid Quote system built into wp2print.

In particular, we're going to take a look at the flow that you as the print shop administrator would use when the customer sends you a batch of files and asks you for a price quote.

In the past, if a customer sent you a batch of files and asked for a price quote, the only alternative you would have had is to open up each of the files, manually calculate the area, put together a price quote, and send the customer an email and wait for a customer's response to see if he wanted to place the order.

With the Rapid Quote system, the entire analysis process is completely automated and makes it very fast and simple to handle the situation of a customer sending you a batch of files.

Firstly, we're just going to start a new rapid quote.

We're going to select the customer, the payment method, and give the project a name.

Now on the right-hand side, you can see a box where the Rapid Quote system allows you, the administrator, to drag and drop the files that the customer has sent you.

Like so.

As you can see, the Rapid Quote system has completed an analysis of the different files that we have dragged and dropped in the area.

And here you can see the full details of that analysis.

Essentially, the Rapid Quote system has opened up every single different document, counted the number of pages in each document, calculated the ink coverage of each page in the document, the size of each page, and then based on the ink coverage, it will calculate the total price for printing that page.

It will output a higher price per square foot for pages with higher ink coverages.

So for example, this first page here, a one-page document, has 100 percent ink coverage, meaning that 100 percent of the document is covered by ink, which is common for a rendering sort of document.

The area of this document was 14 square feet and based on the 100 percent ink coverage, it has assigned a price of $1.40 per square foot, which means a total price of $19.60.

For the second page, here you can see that the ink coverage is much lower and therefore the price per square foot is lower as well.

In any case, the system has analyzed every single page in the batch and has calculated the total price for printing that particular page, and now we can see the total price for all the pages, which is $57.

Now if we click on 'Send Rapid Quote', the system will send an email to the customer.

A price quote has been sent to the customer and here we can see the details in the administrator page.

So now let's switch over and see what the customer gets.

Essentially, the customer is going to get an email.

Here you can see a quotation from Plans-R-Us.

The customer can open up that email and here he sees the same details as we saw earlier.

How many pages are in the batch, the ink coverage for each of those pages, their area of each of those pages, and the total price for printing each page.

And here, to print the entire job, the price will be $57.

If the customer is happy with that price and would like to go forward with the job, he can very simply click 'Pay Now'.

The customer is now sent back to the website, already logged in.

And here we can see the $57 for the printing.

The customer can choose how he wants it shipped.

Perhaps he'll choose pickup.

We're going to apply tax and calculate a total for the entire order.

The very last thing the customer is invited to do is make a credit card payment.

From the customer's perspective, he receives an email, he clicks the button 'Pay Now', he comes to the website, and makes a payment.

It's very simple for the customer and very simple for you.

Now for the print shop, we have completely automated the whole process of analyzing each page, assigning a different price, in this case based on the ink coverage, and sending a quotation to the customer.

Once the customer places the order and makes a payment, you will of course receive an email confirming the order.

You can come to the Orders page and you can see all the paid orders that you have received.

And of course, here you can see once again the details for that order that you prepared originally using the Rapid Quote system.
